Refund & Cancellation Policy
Effective July 8, 2026
This Refund & Cancellation Policy applies to all SiteRep Works products, including BuildSITREP, Closeout Command, HaulProof Reports, and SiteWright Project Coordinator.
SiteRep Works provides software tools for construction documentation, reporting, project tracking, closeout management, sustainability reporting, and meeting support. Because these products are digital services, access may begin immediately after purchase or subscription activation.
1. General Refund Policy
Unless otherwise stated in writing, all paid subscriptions and digital purchases are non-refundable once access has been provided.
Refunds may be considered only in the following situations:
- Duplicate billing or accidental duplicate purchase
- A technical issue caused by SiteRep Works that prevents reasonable use of the product
- A billing error caused by SiteRep Works
- Cancellation of a paid plan before access was activated
- A written refund commitment made by SiteRep Works
Refund requests must be submitted within 14 days of the original charge. Requests submitted after 14 days may be denied. Submitting a refund request does not guarantee approval.
2. Subscription Cancellations
Customers may cancel their subscription at any time. Canceling a subscription stops future billing but does not automatically create a refund for the current billing period.
After cancellation, the customer may continue using the paid features until the end of the active billing period unless otherwise stated in the plan terms.
SiteRep Works does not provide prorated refunds for partial months, unused time, inactive accounts, or projects that were not completed.
3. Free Trials and Free Plans
If a product includes a free trial or free plan, the customer is responsible for reviewing the plan limits before upgrading to a paid plan.
If a free trial converts to a paid subscription, the customer will be charged according to the plan selected during signup or checkout.
Refunds are not provided because a customer forgot to cancel, did not use the account, or no longer needs the service after the billing date.
4. BuildSITREP Refund Policy
BuildSITREP is a construction reporting and monthly report platform. Because reports, project data, templates, exports, and branded reporting tools may be available immediately after purchase, BuildSITREP subscriptions are non-refundable once access has been granted.
Refunds may be considered if BuildSITREP is unavailable due to a verified platform issue that prevents the customer from creating, editing, or exporting reports for a reasonable period of time.
Refunds are not provided for:
- Reports that were started, completed, downloaded, exported, or shared
- Customer-entered errors
- Failure to use the product
- Missed internal deadlines
- Change of mind after purchase
- Project delays, cancellations, or owner-driven changes
5. Closeout Command Refund Policy
Closeout Command is a closeout management platform for tracking project documents, requirements, trade partner submissions, O&Ms, warranties, attic stock, training, and closeout deliverables.
Because project setup, requirement extraction, document uploads, AI review, and closeout tracking may begin immediately after purchase, Closeout Command subscriptions and project setup fees are non-refundable once access or setup work has started.
Refunds may be considered if SiteRep Works is unable to provide access to the platform or if a verified system issue prevents reasonable use of the core closeout tracking features.
Refunds are not provided for:
- Incorrect or incomplete project documents uploaded by the customer
- Owner, architect, or trade partner delays
- Customer failure to collect closeout documents
- Closeout requirements that change after project setup
- Data entered incorrectly by the customer
- Project cancellation, delay, or suspension
- Completed AI reviews, requirement extractions, or project setup work
One-time setup, onboarding, implementation, consulting, or custom configuration fees are non-refundable once work has begun.
6. HaulProof Reports Refund Policy
HaulProof Reports is a waste tracking, recycling documentation, LEED support, diversion tracking, ticket import, and sustainability reporting platform.
Because customers may upload haul tickets, generate reports, review diversion data, and export documentation immediately after purchase, HaulProof Reports subscriptions are non-refundable once access has been granted.
Refunds may be considered if a verified platform issue prevents the customer from uploading tickets, tracking waste streams, or generating reports for a reasonable period of time.
Refunds are not provided for:
- Incorrect haul tickets or data provided by the customer
- Incorrect third-party vendor information
- Recycling or diversion percentages that do not meet project goals
- LEED, owner, or sustainability requirements that change after purchase
- Reports that have already been generated, downloaded, exported, or submitted
- Customer failure to upload tickets or maintain project records
SiteRep Works does not guarantee that use of HaulProof Reports will result in LEED certification, owner approval, sustainability approval, or acceptance by any third party.
7. SiteWright Project Coordinator Refund Policy
SiteWright Project Coordinator is an AI-supported construction meeting and coordination tool that may assist with meeting agendas, notes, action items, meeting summaries, uploaded files, and project coordination documentation.
Because meeting tools, AI-generated notes, agenda support, summaries, uploads, and action item tracking may be available immediately after purchase, SiteWright Project Coordinator subscriptions are non-refundable once access has been granted.
Refunds may be considered if a verified platform issue prevents the customer from accessing core meeting or coordination features for a reasonable period of time.
Refunds are not provided for:
- Poor audio quality caused by the customer's device, room conditions, microphone, meeting platform, or internet connection
- Missed meetings
- Meetings the user forgot to record, upload, or connect
- Customer failure to review AI-generated notes or summaries
- Inaccuracies caused by unclear speech, background noise, overlapping speakers, or incomplete meeting information
- Customer edits, omissions, or failure to distribute meeting notes
SiteWright Project Coordinator is intended to support meeting documentation. It does not replace the customer's responsibility to review, verify, correct, and approve meeting records before distribution.
8. Enterprise, Pilot, and Custom Plans
Enterprise plans, pilot programs, annual licenses, custom work, white-label setup, company branding, onboarding, training, consulting, integrations, and custom development are governed by the written agreement or order form signed or accepted by the customer.
Unless the written agreement says otherwise, enterprise, pilot, annual license, setup, onboarding, training, and custom development fees are non-refundable once work has started or access has been provided.
If an enterprise or pilot customer cancels early, the cancellation stops future renewal but does not create a refund for amounts already paid.
9. Data Access After Cancellation
After cancellation, customer access may continue until the end of the active billing period. SiteRep Works may provide a limited period of read-only access after cancellation so customers can view, download, or export available project information.
After the access period ends, SiteRep Works may restrict access, archive the account, or delete data according to its data retention policy.
Customers are responsible for exporting any needed reports, records, documents, or project information before access ends.
10. Chargebacks and Payment Disputes
Customers are encouraged to contact SiteRep Works before opening a chargeback or payment dispute. If a chargeback or dispute is opened, SiteRep Works may suspend account access while the dispute is reviewed.
Fraudulent payment activity, misuse of the platform, abuse of refund requests, or violation of the Terms of Service may result in denied refunds and account termination.
11. How to Request a Refund
To request a refund, contact SiteRep Works at support@siterepworks.company.
Refund requests should include:
- Customer name
- Company name
- Product name
- Account email
- Date of charge
- Amount charged
- Reason for refund request
- Any supporting screenshots or details
Approved refunds will be returned to the original payment method when possible. Processing times may vary depending on the payment provider or financial institution.
12. Changes to This Policy
SiteRep Works may update this Refund & Cancellation Policy from time to time. The version posted at the time of purchase or renewal will generally apply to that transaction unless otherwise required by law or stated in writing.
